What we collect and why

Our inquiry form collects your name, email address, optional phone number, requested service and message, plus location, document origin, destination or timing information when relevant. We use this information to respond, prepare a quote, coordinate an appointment and provide services you authorize.

The form does not accept attachments or collect payments. Do not submit identification numbers, financial account details, borrower information, document scans or confidential client records through it. Contact us to agree on an appropriate transfer method before sharing sensitive documents.

Who receives the information

Form messages are delivered through our hosting service to support@gillstargroup.com and forwarded to Gillstar's business Gmail inbox. Our current website hosting is provided by Namecheap, and Google provides the receiving Gmail service. These providers process information needed to operate their services.

For an authorized assignment, we may share necessary information with the relevant public authority, document recipient, authorized service provider or delivery carrier. We do not sell personal information or automatically add inquiry contacts to a marketing list. We may also retain or disclose information when required by applicable law or reasonably needed to address a dispute, fraud or security issue.

How long we retain information

For inquiries that do not become an assignment, we review messages monthly and delete them from active business mailboxes within 180 days after the last substantive contact, allowing up to 30 additional days for the monthly review. We may retain necessary information longer for an active request, documented business need, dispute or legal preservation requirement.

Completed service, transaction and any required notarial records are handled separately according to their purpose and applicable requirements; the unsuccessful-inquiry schedule does not authorize deletion of those records. Hosting logs, email-provider records, Trash folders and backups may follow separate retention or recovery cycles. Deletion from an active mailbox does not mean every backup copy disappears immediately.

You may ask about information you provided or request correction or deletion by emailing support@gillstargroup.com. We may need to verify the request and may retain records we must keep or reasonably need for an ongoing matter. We explain any relevant limitation rather than promising immediate deletion from every system.

Security, cookies and reading options

The form uses a short-lived security session cookie and submission limits to help prevent misuse. The form's rate-limit storage contains hourly counters and keyed network-address digests rather than message contents. Hosting services may separately record network addresses and request details in access or security logs.

The current website build includes no advertising trackers, analytics tags or automatic marketing emails. The accessibility controls adjust the current page's reading display without saving form entries in browser storage. Read-aloud starts only when selected and excludes inquiry-form contents. Voice processing depends on the browser, device and selected voice. Your own screen reader works independently.

We use reasonable safeguards and limit access to people who need information for an authorized purpose. No internet transmission, email service or storage system can be promised completely secure. If website features or information practices change, we update this notice and its effective date as appropriate.

Google customer reviews

When the Google reviews carousel is enabled, our server will retrieve review information from Gillstar Group’s Google Business Profile using Google’s Business Profile API. The panel may display a reviewer’s publicly shown name, star rating, written review and a link to the review on Google. To reduce repeated requests, review data may be temporarily cached in a restricted server-side directory and refreshed periodically. OAuth credentials are stored on the server and are not included in public website files or sent to visitors. Google processes API requests under its Google Privacy Policy and applicable terms.
